a) Should you require a day reception only your event room should be vacated by 6.00pm. Alternatively, you may continue your celebrations into the evening with the following stipulations:
i) If you choose an evening buffet in addition to the day reception a room hire charge is not applicable
ii) If you choose not to cater for your guests in the evening there will be a £500.00 room hire charge.
b) A drinks package must be chosen for all guests attending the day reception.
c) The hotel does not offer a corkage facility
d) In addition to the day reception, an evening buffet can be selected catering for no less than 80% of the hotel evening guests attending.
e) Final numbers must be advised 48 hours prior to the Wedding and this number or the number attending on the day, whichever is the higher, will be used for invoicing purposed.
3. BOOKING CONFIRMATION AND DEPOSITS
Provisional bookings will be held for 2 weeks only, after which a deposit of £500.00 and a letter of confirmation is required. A further deposit of £500.00 is required two months later. Deposits are not transferable or refundable. Credit card payments will incur a surcharge of 2.5%.
Following detailed discussion and our understanding of your arrangements, the agreed prices will be confirmed in writing. All prices are inclusive of VAT at 20%, if the general rate of VAT is altered, our prices will be modified accordingly.
5. SETTLEMENT OF THE ACCOUNT.
The final bill is to be settled 2 weeks prior to the Wedding based on the numbers given. Any extras are to be settled on departure. It is agreed that any food, drinks or services not mentioned in the contract but asked for at the hotel will be paid for when the bill is presented. Credit card payments will incur a surcharge of 2.5%.
We strongly recommend that you take out Wedding insurance. This should cover you in the event of cancellation but please check terms and conditions with your broker.
A minimum of 10 bedrooms must be taken for 1 or 2 nights to include the night of the Wedding. A further 10 bedrooms may be booked on the special wedding rate for a minimum of 2 nights to include the wedding night. Any further rooms may be reserved on our normal tariff.
The hotel cannot guarantee availability of accommodation over and above the first 10 bedrooms. If you require more accommodation, it is your responsibility to book and guarantee this. Normal booking conditions apply. Exclusive use Weddings must also take 12 rooms the night prior to the Wedding.
The following scale of charges will be made:
Cancellation 3 months prior to the event - 50% of the estimated total invoice
Cancellation 1 month prior to the event - 75% of the estimated total invoice
Cancellation 1 week prior to the event - 100% of the estimated total invoice
The hotel cannot accept responsibility for damage or loss of belongings, before, during or after the event. Materials such as banners, posters and signs must not be attached to the walls. Any damage to the hotels fittings in this way will be the financial responsibility of the organiser.

It is recommended that all guests pay particular attention to the Hotel Proprietors Act displayed at the Reception desk, and are advised to take note of our fire procedures.
2. DEPOSITS – non refundable
The hotel reserves the right to require a non-refundable deposit and/or full payment prior to the holding of a function. Private hire of the Wroxton Room will require a £200.00 deposit whilst the hire of the Broughton Room will require a £350.00 deposit. Credit card payments will incur a surcharge of 2.5%.
All prices include Value Added Tax at the current rate. Prices are subject to variation without notice. However every effort will be made to hold prices quoted for six weeks from booking confirmation
Once initial confirmation has been received, all cancellations or amendments must be advised in writing to the hotel.
All cancellations 16 weeks prior to arrival – retention of deposit
Cancellations 16 weeks to 12 weeks – 25% cancellation charges
Cancellations 12 weeks to 6 weeks – 50% cancellation charges
Cancellations 6 weeks to 4 weeks – 75% cancellation charges
Cancellations 28 days – 100% cancellation charges
The hotel shall make every effort to resell the space for a similar value
Should this be possible, we will waive all such cancellation charges (excluding the non-refundable deposit)
We strongly recommend that you insure yourself against any cancellation or reduction in numbers
The hotel reserve the right to cancel any forthwith booking, without liability on its part in the event of damage or destruction to the hotel, any shortages of labour or food, strikes, or any other cause beyond the control of the hotel. In these unlikely circumstances, all efforts will be made to accommodate the booking in a similar hotel of an equal standard.
5. FINAL NUMBERS
Final numbers of delegates together with a rooming list if accommodation is involved are required at least 5 working days before the event. Should numbers fall, the hotel reserve the right to charge for the original number booked if we can not re-let the facilities.
6. DIETARY REQUIREMENTS
The hotel takes all dietary requirements very seriously. However, whilst all reasonable efforts are made to ensure that dishes are prepared to take into consideration guests’ personal requirements, as the hotel kitchen is a commercial operation, we are unable to offer any guarantees.
7. SETTLEMENT OF ACCOUNT
Settlement of the final account is due at the time of departure from the hotel, unless credit facilities exist, or have been agreed prior to the event taking place. Payment by credit card will incur a 2.5% surcharge. It is agreed that any food, drinks or services not mentioned in the contract but asked for at the hotel will be paid for when the bill is presented.
Materials such as banners, signs and posters must not be attached to conference room walls. Any damage to the hotels fittings in this way will be the financial responsibility of the organiser.
